Today, I’m taking you through my whole process and client experience for writing website copy!

You’re nosy, I’m nosy. We’re all in each other’s businesses with social media and the internet and stuff.

And honestly, having the right tools can make a HUGE difference in growing your business and making sure your client projects go smoothly.

AND, I’m a firm believer in keeping things simple. As in, you don’t need EVERY cool tool or AI extension just because it’s what people happen to be talking about at the moment.

This is just what works for me, and I’m probably not going to change things unless they become too much of a hassle in the long run.

(Also, this post does not contain any affiliate links, because I didn’t feel like plugging them in when writing this post, lol. Enjoy my honest opinions without worrying about being sold to!)

Attracting leads with Showit

Showit is my GIRL. This is where I host my website and deliver information about my services.

It’s pretty a straightforward, drag-and-drop web design platform that I’ve used to make my online presence exactly how I want it to be. It’s pretty easy to optimize for SEO too.

(Copy by yours truly, of course!)

Collecting inquiries with Honeybook

Honeybook is what I’m currently using to collect inquiries, send proposals, host my client contracts and questionnaires, and send invoices.

I like keeping as much as I can to the client portal, so I can protect my client’s information and keep my processes streamlined. You can have a client do pretty much anything with just a couple clicks with Honeybook.

Scheduling calls with Cal.com

Cal.com is a free alternative to scheduling tools like Calendly. (Which I used for a long time, but ultimately was running into too many issues with Calendly.)

I like that Cal.com let’s you have unlimited different types of meetings, customize your questionnaires, easily edit your availability, and manage where you’re hosting your meetings too.

Hosting kickoff and strategy sessions with Whereby

I broke up with Zoom to give Whereby a try, and so far I’m liking it!

Whereby is specifically created for developers and web people. It’s also cheaper than Zoom, gives you unlimited call recordings on their lowest pricing plan, and my clients like that you don’t have to download an app to use it like you do with Zoom.

I like that Whereby set me up with a personalized meeting room too, so I don’t have those ugly Zoom links anymore.

I’m still new to it, but so far so good!

Taking project notes with Milanote

I switched to Milanote for project notes because I was no longer loving super long Google docs and random scribblings on my Notes app for different projects.

I frequently use the Document features in Milanote to take extended notes, and am easily able to organize notes by client and stage each project is in.

I don’t love that it’s a subscription, but you can get a discount I believe.

Keyword research with Keysearch

There are so many keyword research tools out there (Ubersuggest, SEMrush, and Ahrefs are the most popular ones.)

However, one of my first clients ever introduced me to this random tool called Keysearch, and it’s just what I’ve stuck with.

The thing is, all these keyword research tools basically do the same thing, so I find it’s easiest to just stick with what you know.

The Keysearch interface is pretty easy to use too. Like I said, I’m all about simplicity.

Also, at only $24 bucks a month, it’s one of the more affordable keyword research tools out there.

Competitor research with Google

Have to mention good old Google!

Even though I do keyword research using Keysearch, I would be remiss if I didn’t tell you that you have to actually poke around on Google to get a good idea of the competitor landscape out there.

Drafting with Google Docs

You know her, you love her, that’s why we keep it simple and leave everything on a Google Doc.

I draft my website copy and format it in a wireframes Google Doc — as in, when I send it off to my client, it’s in a Google doc for easy copy-paste and commenting features, but it also looks like a website.

Using Google Docs for my copywriting projects also means my clients don’t have to use a new tool, since they probably already know Google Docs.

Sending the draft overview with Loom

Loom is a lifesaver, and it easily allows me to walk my clients through their copywriting projects when I send off the draft.

Basically, I like to share my screen as I walk them through the document to help them understand the choices I’ve made and provide context for their copy.

Loom says they save you meetings, and that’s absolutely true! Usually my review calls go pretty smoothly because my client has the context I’ve sent them with the Loom video accompanying their draft.

These tools help my copywriting projects go smoothly, but it’s the words that help move the needle in your business
